Privacy Policy

Voxentral provides AI receptionist services — website chat, voice conversations, phone answering, lead capture, and appointment scheduling — to business customers (“Businesses”). This policy explains what we collect and how we use it, both for Businesses using our platform and for visitors and callers (“End Users”) who interact with a Voxentral-powered assistant.

Information we collect

  • Conversation data. Messages, voice audio and transcripts, and details End Users share during a conversation (such as name, email, phone number, preferred times, and the nature of their request).
  • Lead and appointment data. Contact details and appointment information captured on behalf of the Business the End User is contacting.
  • Business account data. Account details, workspace configuration, and content Businesses provide (services, FAQs, website content used to configure the assistant).
  • Technical data. IP addresses, browser information, and usage metrics used for security (rate limiting, abuse prevention) and service operation.

How we use it

  • To operate the assistant: answer questions, capture leads, and book appointments for the Business the End User contacted.
  • To deliver leads, notifications, and activity reports to that Business.
  • To meter usage, bill Businesses, and secure the service.
  • We do not sell personal information, and we do not use End User conversations to advertise to End Users.

Service providers

We use trusted providers to run the service, and conversation data is shared with them only as needed to provide it: AI model providers (such as OpenAI and Groq) to generate responses and transcribe audio, voice infrastructure (such as Retell AI, and speech providers such as Azure and Cartesia), scheduling (Cal.com, when a Business enables live booking), hosting and data storage (Vercel, Supabase), and email delivery for notifications. Each provider processes data under its own security and privacy commitments.

Retention and deletion

Conversation and lead data is retained for the Business it was captured for, so that Business can serve its customers. Businesses may request deletion of their workspace data, and End Users may request access or deletion of their information by contacting the Business they interacted with or by using the contact below.

Recording and consent

Voice conversations may be transcribed to provide the service. Businesses are responsible for providing any notices required in their jurisdiction for call transcription or recording, and Voxentral widgets support configurable privacy notices shown to End Users before they share information.
